About Inbox
You can send and receive e-mail by synchronizing with your PC, or by connecting to a POP3 or IMAP4 mail server. You need to set up an e-mail service for each method you use except for ActiveSync, which is set up by default. The ActiveSync folder on your device is used to store messages you send and receive through synchronization with a PC. Service names appear as folders in the folder list (located on the left, under the navigation bar) in the Inbox message list.
With synchronization, messages are synchronized between the device Inbox and the PC Inbox using ActiveSync and Microsoft Exchange or Microsoft Outlook. For more information, see About Synchronizing Inbox.
When connecting to a POP3 or IMAP4 server, you use a modem to connect to your Internet service provider (ISP), or a modem or Ethernet card to connect to the local area network that your e-mail server is connected to. For more information, see Connect to a Mail Server.

About Synchronizing Inbox
After selecting Inbox for synchronization in ActiveSync, e-mail messages are synchronized as part of the general synchronization process. During synchronization:
- Messages are copied from the Inbox folder of Exchange or Outlook on your PC to the ActiveSync folder in Inbox on your device. By default, you’ll receive messages from the last three days only, the first 100 lines of each new message, and no file attachments.
- Messages in the Outbox folder on your device are transferred to Exchange or Outlook and then sent from those programs.
- The messages on the two computers are linked. When you delete a message on your device, it’s deleted from your PC the next time you synchronize.
- Only the messages in your Inbox folder are synchronized. Messages in subfolders in your PC Inbox folder are not synchronized.

About Folders
Each e-mail service has its own folder hierarchy with four default folders: Inbox, Outbox, Deleted (local), and Sent. The messages you receive and send through the mail service are stored in these folders. You can also create additional folders within each hierarchy. The Deleted (local) folder contains messages that have been deleted on the device. The behavior of the Deleted (local) and Sent folders depends on the Inbox options you have chosen.
The behavior of the folders you create depends on whether you are using ActiveSync, POP3, or IMAP4.
If you are using ActiveSync or POP3 and you move messages to a folder you created, the link is broken between the messages on the device and their copies on the mail server. The next time you connect, the mail server will see that the messages are missing from the device Inbox and delete them from the server. This prevents you from having duplicate copies of a message, but it also means that you will no longer have access to messages you move to folders you create from anywhere except the device.
If you are using IMAP4, the folders you create and the messages you move are mirrored on the server. For example, if you move two messages from the Inbox folder to a folder called Family, the server will create a copy of the Family folder and copy the messages into that folder. Therefore, messages are available to you anytime you connect to your mail server, whether it is from your device or PC. This synchronization of folders occurs when you create a new folder, move or copy messages into a folder, switch to another program on the device, or tap Services > Synchronize Folders. If you want to view the messages in a folder while disconnected from your mail server, select the folder and then Services > Folder Available Offline. You may also see a Deleted Items folder. This folder is for messages deleted on the server.

Set up a mail service
To connect to your POP3 or IMAP4 mail server, you need to set up an Inbox e-mail service and a remote connection to the Internet or network the mail server is connected to. Follow the steps below to set up a connection to your mail server as well as a connection to the Internet or a network. If you have created an Internet or network connection already, you'll be able to choose it as the connection method. For more information on setting up a remote connection, see Connections Help.
- Get the following information from your ISP or network administrator: POP3 or IMAP4 server name, SMTP host name, user name, password, and domain name (for network connections only).
- Open Inbox, and tap Services > New Service.
- From the Service type list, tap POP3 Mail or IMAP4 Mail. (POP3 is the most common mail protocol for ISPs.)
- Enter a unique name for the service. This name cannot be changed later.
- Tap Next.
- If you have created a connection you want to use, select it from the Connection list. If you have not, select Create new connection and follow the steps in the wizard. When you return to this screen at the end of the wizard, select the connection you created from the Connection list.

Other mail protocols, such as the protocol used by AOL, are not supported. In addition, services that use special authentication, such as MSN, are not supported. However, you can access the Internet through these services. Third-party programs may be available to enable you to send and receive mail through proprietary protocols. Try searching the Web on the keyword "Windows CE" to find third-party programs for your device. |

Complete the following entries as needed:
- Connection: Select the name of the connection you created to connect to the mail server. If you are receiving e-mail messages through a network (Ethernet) connection, select Network Connection. If you want Inbox to use your current connection, select (none). If you have not created a connection, select Create new connection and follow the instructions in the wizard. Then, select this new connection from the list. For more information, see Connections Help.
- Server: Enter the name of the mail server you use to receive messages. This name will also be used for sending messages if you do not specify an SMTP server.
- User ID: Enter the user name or mailbox ID assigned to you.
- Password: Enter the password you use to access this mail account. If you do not want to be prompted to enter the password each time you connect, tap Save password.
- Tap Next to continue.

Complete the following entries as needed:
- Domain (Windows NT): Enter your Windows NT domain name. This name is required only when connecting to a network, such as a corporate network, that uses Windows NT domain security. This is not required for most ISP accounts. If you have trouble connecting, try clearing this box.
- SMTP host for sending mail: If your mail service uses a separate server for SMTP, enter the name in the box. If you're setting up a POP3 Mail service with an ISP, the ISP must use an SMTP mail gateway.
- Return address: If you do not enter a return address, your return address will be set to userID@server. If this is not your e-mail address, enter the correct address.

Complete the following entries as needed:
- Disconnect service after actions are performed: Automatically disconnects you from the server upon completion of all pending actions. This option minimizes connect time and cost.
- Check for new messages every <number> minute(s): Select the time interval (in minutes) at which you want the device to check for new mail. If this option is turned off, you must check for new mail manually by tapping
.
- When messages arrive, play a sound (IMAP4 only): Informs you that new mail has arrived.
- Send using MIME format (POP3 only): Sends messages with extended characters.
- Only display messages from the last <number> days: Select how many days of messages you want downloaded.

Complete the following entries as needed:
- Get message headers only: Download headers only to save storage space and time. You can download a full copy of the message later by selecting the message and then Services > Get Full Copy. Or, tap Get full copy of messages to receive a full copy of all messages. In addition to the message body, any options you select in When getting full copy will be downloaded. Selecting this option increases the amount of time needed to download messages.
- Include <number> lines: Sets the message length (approximate number of lines) that you want to download.
- Only synchronize Inbox folder (IMAP4 only): Speeds download time by preventing the complete download of the folder list every time you connect.
- Get meeting requests (POP3 only): Downloads and stores copies of meeting requests when getting full copies of messages. This setting applies whether you have chosen to download full copies of messages by default or if you selectively download full copies of messages by opening the message and tapping Services > Get Full Copy. Limitations apply. For more information, see Receive meeting requests.
- Get file attachments (POP3 only): Downloads and saves message attachments when getting full copies of messages. This option may use significant RAM and slow download time. This setting applies whether you have chosen to download full copies of messages by default or if you selectively download full copies of messages by opening the message and tapping Services > Get Full Copy.
- When getting full copy, get file attachments/meeting requests (IMAP4 only): Downloads and stores meeting requests and message attachments when getting full copies of messages. This setting applies whether you have chosen to download full copies of messages by default or if you selectively download full copies of messages by opening the message and tapping Services > Get Full Copy. Limitations apply. For more information, see Receive meeting requests.
- Only if smaller than <number> KB (IMAP4 only): Restricts the size of the attachments you download. If you want to receive meeting requests only, set to 10 KB.

Download messages from the server
When you download messages, you need to create two connections: a remote connection and a mail server connection. The remote connection connects you to your ISP or network. The mail server connection downloads messages from your mail server to Inbox on your device. When you select Services > Connect in Inbox, Inbox starts a remote connection using the connection you specified when setting up the current mail service. If you are already connected through a remote connection other than the one you specified in the mail service, you will be asked if you want to use the current connection. If you choose not to, you will need to disconnect from the current connection before you can check for new messages. For more information, see Connections Help.
- Tap the Services menu and make sure that the service you want to use is selected (has a bullet next to it).
- Tap Connect.
The messages on your device and mail server are synchronized: new messages are downloaded to the device Inbox folder, messages in the device Outbox folder are sent, and messages that have been deleted from the server are removed from the device Inbox. Tap a message in the message list to open it.
- If you read a message and decide that you need the full copy, tap Edit > Get Full Copy while in the message window or Services > Get Full Copy while in the message list. This will also download message attachments and meeting requests if you selected those options when you set up the mail service. To unmark a message that is marked for download, tap the marked message. You can also choose to download full copies of messages by default.
- When finished, tap Services > Disconnect.
- If you start the modem connection from the Connections folder, the connection will continue until you tap the status icon on the Today screen and tap Disconnect.

The size column in the message list displays the local size and server size of a message. Even when a message has been downloaded fully, these numbers may differ because the size of a message can vary between the server and the device. |

When using IMAP4 to get Outlook or Schedule+ data, you will see the contents of your Journal folder. File editing transactions and documents (such as Task items, e-mail messages, and Word documents) attached using drag and drop will appear as shortcuts on the device. A copy of the document will not be moved to your device, and the shortcut on the device cannot be used to access the document. To move documents associated with a journal entry to the device, attach the document to the entry rather than dragging and dropping it. Also, be sure to set your IMAP4 service to receive full copies of messages, attachments, and meeting requests. For more information on using Journal, see Help on the desktop version of Outlook. |

The way you download copies of messages depends on how you are receiving messages:

- Enter the subject, sender's name, or message body text. If you have looked for this message before, tap the arrow to the right of the Find box and select the name from the list.
- In Type, narrow your search by selecting Inbox.

Receive attachments
An attachment sent with an e-mail message or downloaded from the server appears as an icon at the bottom of the message in its own window pane. Tapping the attachment icon opens the attachment if it has been fully downloaded. You can mark an attachment for downloading (POP3 or IMAP4 service only) the next time you connect:
- If you receive messages through synchronization, in ActiveSync on your PC, select your mobile device and click Tools > Options. Then, select the message service, click Settings, and select Include File Attachments.
- If you receive messages through a remote mail server, in Inbox on the device, select Get file attachments and meeting requests (IMAP4) or Get meeting requests (POP3) when setting up your mail service. For more information, see Set up a mail service.

An embedded message can be viewed as an attachment when using IMAP4 to receive e-mail. However, this features does not work if TNEF is enabled so that you can receive meeting requests. |

Receive meeting requests
If you receive your messages through ActiveSync, you will automatically receive meeting requests. If you connect directly to a mail server, the server must be running Microsoft Exchange Server for you to receive meeting requests. To receive meeting requests:
- Ask your system administrator to activate Rich Text Format and TNEF support for your account. However, if TNEF is enabled, you will not receive messages that are included in other messages as attachments, and you will not be able to tell if a message has an attachment until you get the full copy. In addition, download time may take longer.
- While setting up your mail service, select Get file attachments and meeting requests (IMAP4) or Get meeting requests (POP3).
Once you are set up to receive meeting requests:
- If you connect directly to a mail server and only receive message headers and/or a limited number of lines per message, select the message that you think is a meeting request and then tap Services > Get Full Copy.
- Open the meeting request.
- Tap Appointment > Accept, Tentative, or Decline. The response will be sent the next time you synchronize or connect to your mail server, and your device Calendar will be updated.

- In the message list, tap New.
- Enter the address of one or more recipients, separating them with a semicolon. If the recipient is listed in Contacts or a directory service, enter a few letters of the recipient's name and tap
. If there is only one match, the e-mail address is inserted. If there is more than one match, select the correct address from the Select Address dialog box.
- Tap Send.
If you are working offline, the message is moved to the Outbox folder and will be sent the next time you connect.

- To create a folder, in the services list (located on the left, under the navigation bar), select the service or folder you want to add the folder to, and then tap Tools > New Folder.
- To rename a folder, in the services list, select the folder, and then tap Tools > Rename Folder. Default folders, such as Inbox, and folders you create for IMAP4 mail servers cannot be renamed.
- To delete a folder, in the services list, select the folder, and then tap Tools > Delete Folder. Default folders, such as Inbox, cannot be deleted.

Designate a folder as offline
Only IMAP4 folders can be designated as offline. All IMAP4 default folders, such as Inbox, are automatically designated as offline. Messages in offline folders can be viewed when you are disconnected from your mail server. If a folder is not designated as offline, you will be able to read and respond to messages in that folder only when connected to the server.
To designate a folder as offline, select the folder, and then select Services > Folder Available Offline. A small arrow icon will appear on top of the folder icon.

Synchronize folders
When you synchronize, the contents of your device folders and mail server folders are compared and updated. New e-mail messages are downloaded, and messages in your device Outbox folder are sent. The synchronization behavior depends on how you connect to your mail server:
- When you connect to a POP3 server, the Inbox and Outbox folders on your device are synchronized with the corresponding folders on the mail server. To synchronize after the initial connection, tap Services > Synchronize Folders.
- When you connect to an IMAP4 server, Inbox, Outbox, and all folders marked as offline are synchronized. To synchronize all folders after the initial connection, tap Services > Synchronize Folders.
- When you connect to your PC, Inbox and Outbox folders on your device are synchronized with the corresponding folders on your PC. To synchronize after the initial connection, tap
> Programs > Connections > ActiveSync. Or, in ActiveSync on your PC, click Tools > Synchronize Now.

Move or copy a message
- In the message list, tap and hold the message. To select multiple messages, tap and drag. Then, tap and hold the selected messages.
- On the pop-up menu, tap Copy to or Move to.
Caution When you move a message that you have received through POP3 or synchronization to a folder you created on your device, the copy of the message on the server is deleted the next time you connect. This prevents duplicate copies of messages. Although the complete message is moved, message attachments will be deleted if you have not selected the option to download attachments. Once the message is moved, you will be able to access the message only from your device.

- To delete a message, in the message list, tap and hold the message. To select multiple messages, tap and drag. Then, tap and hold the selected messages. On the pop-up menu, tap Delete. Messages are moved to the Deleted (local) folder and deleted according to the option you have selected in Tools > Options > Message tab.
- To delete an attachment, in the message, tap and hold the attachment icon. On the pop-up menu, tap Delete.

Clear messages and folders
- When receiving e-mail messages from a POP3 or IMAP4 server, select the service that contains the folders and messages you want to clear, and then select Services > Clear All. All messages and folders that are linked to the selected service are cleared, and memory space is expanded on the device without deleting messages on the server. The next time you connect, the messages and folders are downloaded again.
- You cannot clear messages and folders from the ActiveSync folder.

In the message list, tap Tools > Options > Message tab.
- To place a copy of the original message beneath your response text, select When replying, include body.
- By default, e-mail messages you send are not saved on your device to help conserve memory space. If you want to keep copies of sent e-mail messages, tap Keep copy of sent mail in Sent folder.

You can store attachments on a storage card rather than internal RAM. All attachments will be moved to the selected card.

Change address options
Many mail servers, including servers running Microsoft Exchange Server, can verify names with an online address book, called a directory service, using LDAP (Lightweight Directory Addressing Protocol). When you create a mail service, your mail server's directory service is added to the Address tab, and you are given the option to enable it. Once enabled, Inbox will check your contacts list and then the directory service to verify names you enter in the To, Cc, and Bcc boxes. If you did not enable it or if you want to use additional services, follow these steps:
- If you are adding a new service, ask your network administrator for the correct server name.
- In the message list, tap Tools > Options > Address tab.
- In the In Contacts, get addresses from list, select which e-mail address box to check in Contacts. Contacts will be checked first unless you select None.
- If your mail server is already listed, select the mail server's directory service check box to enable it. Then, tap OK and you are finished.
- If your mail service is not already listed, tap Add.
- In the Directory name and Server boxes, enter the LDAP directory and server names.
- Ask your network administrator if authentication is necessary for your server. If so, select Authentication is necessary on this server, and enter your user ID and password.
- To have Inbox check this service, select Check name against this server.

While sending and receiving messages through synchronization, disable any directory services you have installed to avoid getting error messages when Inbox tries to verify names against the service you are not connected to. |
